Refund Policy
At DNA Systems, we want you to be completely satisfied with DNA ERP. This Refund Policy outlines the terms for refunds and cancellations.
1. Free Trial
We offer a 14-day free trial of DNA ERP with full access to all features. No payment is required during the trial period, and no charges will be made if you decide not to continue.
We strongly recommend testing all features during the trial period before subscribing.
2. All Sales Are Final
IMPORTANT: All subscription purchases are final and non-refundable.
Once you subscribe to DNA ERP after your free trial, no refunds will be issued. This policy applies to:
- Monthly subscriptions
- Annual subscriptions
- Additional user licenses
- Optional modules (HR, Manufacturing, Projects)
The 14-day free trial provides ample time to evaluate whether DNA ERP meets your needs before making any financial commitment.
3. Implementation Services
3.1 Before Service Begins
If you cancel implementation services before work has begun, you will receive a full refund.
3.2 Work in Progress
If implementation has started:
- Refund calculated based on hours not yet delivered
- Completed work is non-refundable
- Minimum charge of 2 hours applies
3.3 Completed Implementation
Implementation services that have been fully delivered are non-refundable.
4. User License Changes
4.1 Reducing Users
You can reduce the number of user licenses at any time:
- Changes take effect at the next billing cycle
- No refunds for unused portion of current period
- Future invoices will reflect the reduced count
4.2 Adding Users
Additional users are billed pro-rata for the remainder of your billing period.
5. Module Changes
If you remove optional modules (HR, Manufacturing, Projects):
- Changes take effect at next billing cycle
- No refunds for current period
6. Cancellation
You may cancel your subscription at any time:
- Access continues until the end of your current billing period
- No partial refunds for unused time
- You can export your data before access ends
- Data is retained for 30 days after subscription ends
7. Exceptions
We may make exceptions to this policy at our discretion only for:
- Extended service outages caused by DNA Systems (exceeding our 99.9% uptime commitment)
- Significant bugs preventing core functionality that we are unable to resolve in a reasonable timeframe
All exception requests are evaluated on a case-by-case basis.
8. Chargebacks
If you believe a charge is unauthorized, please contact us first at billing@dna.systems. Filing a chargeback without contacting us may result in account suspension.
9. Currency
All billing and refunds (where applicable) are processed in the original payment currency. Exchange rate fluctuations are not compensated.
