Approval and controlled changes: keeping the financial plan trustworthy
A budget can influence purchasing authority, management expectations and project decisions. Once people rely on it, changing it is more consequential than correcting an isolated draft estimate. The business needs to know which plan was agreed and why a later change was justified.
Approval establishes the required authority under the configured workflow. It does not prove that every estimate is accurate or that actual spending has occurred.
DNA's state and permission controls
The reviewed Budget Entry uses both ordinary add/edit permissions and status-based editing rules. Approved and posted budgets are normally locked. The special permission to modify an approved budget relaxes the approved-state restriction; it does not relax the posted-state restriction in the shared status configuration.
Saving a budget submits the configured data and requests pending approval when the applicable approval rule requires it. The returned budget status is used for the saved result. A successful save and an approved plan should therefore not be treated as interchangeable events.
A justified revision
Northstar Services approved USD 80,000 for a defined installation. The customer later requests additional equipment and a revised delivery scope. A higher budget may be legitimate, but it needs an explanation of the new work, expected cost and commercial recovery.
Changing the budget to equal an overspend without explaining its cause would hide the original variance. The revision should distinguish authorised scope change from a rate increase, inefficient execution or an original estimating error.
Authority and evidence
Permission to modify establishes who may perform an action. It does not by itself establish that the change is commercially justified. A responsible review connects the change to supporting requirements, estimates and decisions.
Likewise, a budget controller's involvement and a cost-centre manager's responsibility answer different questions from who entered the figures. The relevant workflow and responsibility should be clear enough for later reviewers to understand the decision.
Preserve the comparison
The reviewed frontend updates the budget through its save workflow. This alone is not evidence of a complete, immutable version archive. Retain the approved baseline and revision rationale through the organisation's supported records rather than assume every prior value can always be reconstructed automatically.
A trustworthy budget process makes drafts, approval, permitted revision and final state understandable. The aim is to allow necessary change while preserving the meaning of the original commitment and the evidence behind the revised plan.
