Integrated case: project delivery, progress billing and budget review

Project work often develops at a different pace from invoicing and cash collection. A contract may permit billing at defined milestones, while costs are incurred through purchases and execution. The project team must understand all three without treating them as the same measure.

Northstar has a fictional USD 100,000 installation agreement with separately defined billing stages. The example explains the relationship between planning, evidence and billing; the percentages and terms are illustrative company choices.

Plan the work and the commercial trigger

DNA's project tasks use project-type cost centres, and its supported sales arrangements include billing plans for relevant payment-term types. The task plan explains what should happen and who owns it. The billing plan explains the intended commercial structure.

If a USD 30,000 milestone requires an accepted installation review, the business needs evidence of that acceptance. A task being mostly elapsed in time is not the same thing as achieving the contractual condition.

Interpret progress honestly

DNA's reviewed task-detail progress can be derived from status and elapsed time. Review is represented as 95%, and Done as 100%. These figures should not automatically become billable percentages or revenue-recognition evidence.

Daniel should explain the actual deliverables and remaining work. Emily should confirm the agreed billing trigger. Oliver should reconcile invoices, any relevant advance or retention treatment, and the financial records.

Compare timing and cost

A budget explains expected resources and timing. DNA supports cost and revenue budgeting with different entry structures and project phasing. A front-loaded budget distribution is a plan, not proof that work or cost actually occurred early.

A useful project review brings together accepted progress, billable milestones, commitments, actual costs and collections. Differences are expected at times; the team's responsibility is to explain them and respond to the real cause.
