Lesson 153 of 159·4 min

Integrated case: a sales opportunity becomes a fulfilment and collection plan

A promising sales opportunity should develop into an agreement that operations can fulfil and finance can explain. Each stage adds evidence: a lead describes potential business, a quotation describes an offer, an order describes the accepted commitment, and later records explain supply, billing and settlement.

Northstar is discussing equipment supply with Westbridge Trading. Emily needs to understand the requirement, Daniel needs a feasible delivery commitment and Oliver needs clear billing and payment terms.

Keep the pipeline meaning clear

DNA's CRM distinguishes pipeline and stage configuration from the commercial documents linked to a lead. Its headline value should not be interpreted as the sum of every quote and order associated with that opportunity. A quotation converted into an order can represent the same business at a later stage.

Sales-area and salesperson information support responsibility, but they do not prove a management hierarchy or automatic performance target. The lead should still have a clear owner and a meaningful next business action.

Price the actual agreement

A discount, promotion and coupon serve different commercial purposes. The relevant question is the final authorised deal and its margin, including how concessions interact. A small-looking percentage can consume a large part of gross profit.

For a simplified USD 10,000 sale with USD 8,000 cost, a USD 1,000 concession reduces gross profit from USD 2,000 to USD 1,000 before other costs. The concession halves that simplified profit. DNA's role-based discount controls support authority, while the business still needs a reason for the offer.

Separate delivery, billing and collection

If supply occurs in parts, the delivered quantity and the billed amount need separate review. If the agreement uses progress terms, the billing trigger follows the relevant agreement rather than an assumed delivery percentage.

Customer payment also needs the correct obligation and allocation. A payment request or a communication containing an invoice link is not itself proof of collection. The coherent outcome connects the accepted agreement, fulfilment evidence, billing basis and settlement record without counting the same business twice.
