Integrated case: a purchase need meets budget, authority and supply constraints

A purchase decision has several dimensions: necessity, specification, timing, price, authority and funding. A favourable result in one dimension does not settle the others. An item can be affordable but unsuitable, or operationally necessary but outside the available budget.

Daniel needs equipment for Northstar's installation project. The requirement should explain the intended use, quantity basis and required date before the organisation evaluates supplier commitments.

Budget and approval answer different questions

DNA's budget controls and approval configuration are distinct. A budget check addresses the financial control result for the relevant transaction context. Approval addresses the decision authority defined by the applicable rule. Neither proves that the specification meets the operational need.

The reviewed purchase-order flow distinguishes hard-stop and soft-stop handling. A particular bypass permission affects the hard stop, while the soft-stop path still requires a written reason. An enabled save action should not be treated as proof of a current successful budget check when the result is absent or failed to load.

Understand the cost position

Suppose a simplified project budget is USD 20,000, commitments are USD 12,000 and actual cost is USD 5,000. DNA's reviewed Budget versus Actual view derives outstanding commitment as the nonnegative difference between commitment and actual, and availability as budget less the greater of commitment and actual.

Under those stated values, outstanding commitment is USD 7,000 and availability is USD 8,000. This illustrates that view's calculation. A transaction's returned budget-check result has its own context and must not be replaced by a manual assumption from this example.

Follow the business evidence

The requirement, supplier commitment, accepted receipt, supplier bill and settlement are different positions. The team should compare their scope and quantities rather than assume that one proves all the others.

The useful procurement outcome is suitable supply with a justified commitment and an explainable financial position. Any unresolved difference should have an owner and an action rather than disappear behind a completed document status.
