Document references and forms: identity and presentation serve different purposes

A document reference helps identify and trace a transaction. A printed form communicates its contents. The reference needs consistency and uniqueness within the intended numbering design; the form needs clarity, correct information and an appropriate layout.

Changing a form's colours does not change a transaction's financial meaning. Likewise, a neat reference number does not prove that the underlying transaction was approved or posted.

Reference configuration in DNA

DNA's Forms Setup includes reference-format settings by transaction type, such as prefix, separator, year position, sequence length, starting number, increment and optional company, branch or department components. The save flow rejects characters that its reference rules do not allow and uses the returned preview.

A preview illustrates the format. It is not proof that a particular number has been reserved for a new transaction. Sequence-reset actions should be treated as distinct changes with consequences for the organisation's numbering practice.

Form customisation

The form configuration includes logo, letterhead, colours, layout, content and labels. After saving, DNA clears its print cache and reads the stored template again. It specifically checks whether print-scale and fit-to-page settings survived the save and can report a partial result.

That behaviour makes an important distinction: a requested layout value is not always the stored value. Review the resulting document, particularly when fitting content to a page could make it unreadable or omit useful context.

Consistent documents

A useful form identifies the transaction, parties, dates, amounts and relevant terms clearly. Branding should support recognition without obscuring the business information.

After a change, compare a representative output with its source record. Check labels, currency, totals and page flow. The objective is a readable and faithful document, not simply a visually different template.
