Company identity and access: keeping the business context clear

A company definition identifies the business whose records are being maintained. Its name, code and contact details help distinguish it from other entities. A company is not the same thing as a department, cost centre or project: those organise activity within a business context rather than automatically creating a separate company.

Clear company identity matters when people work across several businesses. A correct transaction entered in the wrong company can be operationally and financially misleading even if its individual fields appear valid.

Company setup in DNA

DNA's company-management form includes a name, code, description, address, contact information, tax identifier, registration number and active setting. Its validation requires a name and code and applies format rules to the code. These are administrative definitions; entering an identifier does not independently verify its legal validity.

User company access is managed separately. DNA's user-management flow can request granting or revoking company access and changing the associated role. Creating a company definition and giving a person access to it are therefore different administrative actions.

A practical responsibility model

Northstar Services and Westbridge Trading are fictional businesses with different records. Emily may need access to both, while Daniel works only with Northstar. Their access should follow their responsibilities, not simply copy the broadest access available to an administrator.

Before a configuration change, identify the intended company and the users affected. Similar names and shared staff make this discipline more important, not less.

Administrative evidence

A company appearing in a list shows that a definition was returned. It does not prove that every master, opening balance, tax setting or integration is ready. Likewise, a grant request should be checked through the resulting access record and the intended user's experience.

Treat company setup as the foundation for a controlled business context. Keep ownership of the definition clear and review changes when company details or staff responsibilities change.
