The best ERP for your business is the one that can support your critical operating model at an acceptable cost and level of implementation risk. A longer feature list does not establish that fit.
This guide is a selection framework, not a ranking of vendors. Use the same scenarios and evidence requirements for every candidate, including DNA.
Begin with three business-critical journeys
Choose a small set of workflows that cross departments: order to cash, purchase to payment, production to receipt, or project budget to actual cost. Include an exception in each.
Write down the starting data, the expected steps and the required result. Ask the vendor to demonstrate the journey with realistic sample records. Mark each requirement as standard, configuration, customization, integration or unsupported.
Separate capability from delivery effort
A feature may exist but require considerable setup or a separate service. Ask who performs the configuration, how it is tested and which costs recur. Record dependencies and exclusions in the scope, not only in meeting notes.
For integrations, identify the system of record, data direction, update frequency, error handling and owner. “Has an API” is not a complete integration plan.
Score evidence consistently
Use a shared evaluation scale: demonstrated and accepted; demonstrated with a gap; described but not demonstrated; unavailable. Add commercial and implementation considerations separately so a low subscription price cannot conceal a critical process gap.
Evaluate permissions, data export, user experience, local requirements and support responsibilities with the same discipline. Request references relevant to your scope where available and verify the role each provider actually performed.
Include the people who do the work
Finance, operations and the implementation owner should review the same scenarios. Give end users a chance to complete an ordinary task without continuous guidance. Usability affects whether a technically capable system will be used consistently.
