Replacing a paper form with a digital form can make submission faster while leaving the underlying process unchanged. The request still waits for an unclear owner, the same data is entered twice, and the final decision is difficult to trace.

Digital transformation becomes operational when it improves the handoffs between people and records. Start with a process that causes repeated friction and map it from the first request to the final outcome.

Locate the points where context is lost

Follow a purchase request through approval, supplier selection, order, receipt, invoice and payment. Note every place where somebody copies data, asks which version is current or waits for information held in another team’s inbox.

Those points are design opportunities. Define the record that should carry the context, the person who owns the next action and the condition that allows the process to move forward.

Fix definitions before automating them

Agree what “approved,” “received” and “complete” mean. A department may call a purchase complete when the goods arrive, while finance means the supplier has been paid. Both can be valid measures if they are named clearly.

Standardize critical master data and avoid collecting information that nobody uses. Every mandatory field should have a reason and an owner.

Measure the whole journey

Useful measures include elapsed time, unresolved exceptions, repeated data entry and transactions returned for correction. Establish a baseline before rollout, then compare the same process and scope afterward.

Do not claim success solely because more forms were submitted digitally. A faster front door can simply create a larger queue at the next stage.

Release a complete, manageable workflow, learn from actual use and expand. The strongest foundation is a process whose records, responsibilities and outcomes agree.
