Start from the business document

Open the quotation, invoice or purchase order that the conversation concerns. Check the recipient and the current document before sharing. A message sent from the right context reduces the chance of attaching an outdated copy, but the operator still needs to confirm what is being sent.

Make the recipient experience part of the workflow

For a signature request, inspect the review page, consent step and signature flow. Check the page language, link expiry and optional password protection. A readable mobile experience matters because many recipients will open the link on a phone.

Control the version and the access

Before resending an amended quotation, establish which version should be considered current. Review who can open the link and how long access remains available. Treat an internal note differently from information intended for the customer.

Also decide how the team follows up on unanswered requests. A scheduled message should still have a responsible owner and a relevant business context.

Test both sides of the exchange
